DayRunner

For NZ tour, shuttle and campervan operators with 3 to 20 vehicles

Your booking system knows who's coming tomorrow. It has no idea how you'll get them there.

DayRunner does the 5pm job. Who's driving, which van, pickup times, supplier confirmations. It plans tomorrow from your bookings, flags what needs you, and drafts every message. You approve. Nothing sends without you.

Works with Rezdy, FareHarbor, Rental Car Manager, or a CSV from anything. We set it up for you. Watch the 60-second video.

DayRunner Day page for the demo operator Remarkables Day Tours: 4 departures, 38 guests, 19 messages drafted, and a Decide before the day list with options for each problem.

The 5pm job, done by hand every night

Tomorrow's bookings are in. Now someone has to work it out. Who's driving. Which van. Is anyone over their hours. Has every guest got a pickup time. Did the lunch stop confirm. In most small operators, that's the owner or the ops manager, after a full day.

How it works

  1. Pull tomorrow

Your bookings come in from Rezdy, FareHarbor or Rental Car Manager. No integration? Drop in a CSV.

  2. Plan the day

DayRunner puts drivers and vans on each run. It checks licence class, seats, hours and who's available. Pickups go in your stop order.

  3. Show what needs you

Only the problems. Each one comes with options. Pick one and move on.

  4. Approve and send

Guest pickup messages in your voice. Supplier reconfirmations from your own Gmail. Driver briefs. Read them, fix what you like, approve.

Driver off sick at 6am? Tap it in.

Tell DayRunner who's off. It shows you every run that breaks, and the best fix, before anything changes. Apply it, and the guest messages that need changing are redrafted for you to approve.

Driver off sick is live now. More problem types are coming.

Driver off sick panel: Tane is off, 16 guests at risk on the 06:45 Milford Sound coach and cruise. Best fix is to call Sam, the on-call casual, which covers the run with no new problems. Option 2 is to ask Moana.

Get your evenings back

At six operating days a week, that's an estimated 14 to 20 hours of someone's week. Usually the owner's evenings.

Estimates from operator interviews and job ads, for a typical day with about 25 guests. We measure the real numbers in every pilot.

We set it up. You don't.

Send us your fleet list and last week's bookings. We'll have tomorrow planned within 24 hours. One call to check it's right, then a direct line to us while you get going.

What we need from you

  • Your vehicles: name, seats, licence class needed
  • Your drivers and guides: licence, hours, days they work
  • Last week's bookings, or access to your booking system
  • Your suppliers: lunch stops, cruises, tastings, ferries
  • About an hour of your time, all up

Quick answers

What is day-of operations software?

Day-of operations software handles the work between the booking and the trip itself: allocating drivers and vehicles, sequencing pickups, messaging guests, reconfirming suppliers and briefing drivers. Booking systems like Rezdy and FareHarbor sell the seats. Day-of operations software plans how those guests actually get picked up and looked after tomorrow.

How do NZ tour operators plan tomorrow's drivers?

In most small operators it's done by hand each evening. Someone exports tomorrow's manifest from the booking system, matches drivers and vans in a spreadsheet or on a whiteboard, checks licences and hours from memory, texts guests their pickup times, emails suppliers to reconfirm, and posts briefs in a WhatsApp group. We estimate that takes 2 hours 20 minutes to 3 hours 20 minutes a day. DayRunner does the planning from your bookings and leaves you to review and approve, which we estimate takes about 15 minutes. Both numbers are estimates until our pilots measure them.

Does DayRunner replace my booking system?

No. It reads tomorrow's bookings from them and does the planning after the sale. Your booking system stays where it is.

Questions operators ask

My booking system already does allocation. Why would I need this?

Most booking systems fill the first vehicle until it's full, then the next. They don't know Sam's on a long day, Jess only has a class 1 licence, or the trailer's with the other van. DayRunner sits on top of your booking system and plans around those things. Keep using your booking system for bookings.

Will it message my guests without asking?

No. Every message is a draft until you approve it. You can edit or hold any one.

How long does setup take?

For you, about an hour. Send us your fleet list and last week's bookings and we do the rest. Tomorrow is planned within 24 hours.

Is my data safe?

Your data is hosted in Sydney (AWS ap-southeast-2, via Supabase). It's encrypted in transit and at rest, and each operator's data is kept separate from everyone else's. You can ask us to export or delete it at any time. We only use it to run your day, and we don't sell or share it. More in our privacy policy.
